Instant digital download. Files are delivered electronically after purchase; nothing is shipped.

This commercial cleaning bid calculator and proposal template helps you bid offices and small commercial spaces from real production rates, then send a clear monthly proposal.

Who it's for: Residential cleaning owners adding their first office, clinic or small commercial accounts, and new commercial cleaners who bid by guesswork. Built for US businesses of 1–10 people.

The problem it solves: Commercial bids are priced by square foot and visit frequency, not by the house. This kit turns your real labor cost, production rates (square feet per hour), supplies, travel and periodic services into a monthly contract price, shows the per-visit and per-square-foot numbers, and lets you check each month whether the account is still profitable.

What's inside

  • Bid & Proposal Workbook (EXAMPLE + BLANK, .xlsx)
  • Commercial Bidding Playbook (PDF)
  • Commercial Cleaning Agreement template (DOCX + PDF)
  • Site Walkthrough Form, Scope of Work Schedule, Proposal Cover Letter, Quality Inspection Checklist (DOCX + PDF)
  • AI Prompt Pack: 25 prompts (PDF + TXT)
  • Start Here guide and license

How it works

  1. Enter your labor, overhead, supply and travel costs and target margin on My Costs.
  2. Adjust the production rates for each type of space.
  3. On Bid Builder, enter the facility's areas, restroom fixtures and visit frequency to get the monthly price.
  4. Compare 1–7 visits a week on Visit Options, print the Customer Proposal, and send it with the agreement and scope schedule.
  5. Log each month's hours on Job Cost Check to catch accounts that drift below your margin.

Good to know

  • Every number in the EXAMPLE file belongs to a made-up business; it isn't a market rate or a recommendation.
  • Templates aren't legal advice; tax lines are placeholders. Have your own professionals review them.
  • The tools help you run your business; they don't guarantee income or results.
  • Excel .xlsx workbook, no macros; formulas tested in LibreOffice (Google Sheets and Excel open-tests pending).
  • Cleaning medical or dental offices can bring extra requirements (for example OSHA bloodborne-pathogens training and EPA-registered disinfectants used as the label directs). This kit doesn't cover them; check what applies to you.

Questions
Are the production rates industry standards?
No. They're EXAMPLE placeholders so the workbook works out of the box. The playbook shows how to replace them with timings from your own walkthroughs and first visits.
Does it work for residential cleaning too?
It's built for commercial accounts priced by square foot and visit. For homes, see the Cleaning Business Pricing & Quote System.
What software do I need?
The workbook is an Excel .xlsx file with no macros; its formulas were tested in LibreOffice Calc (Excel and Google Sheets open-tests pending). You'll also need a PDF reader and a word processor that opens .docx files (the templates were checked in LibreOffice Writer).
Can I use it for more than one business?
The license covers one business, including its employees and contractors. A second business needs a second license. No resale, redistribution or sharing.
Is this legal or tax advice?
No. The agreements and policies are templates to have a local attorney review, and tax lines are placeholders to confirm with a tax professional.
