Give every job a backup, map who can access what, and keep the business running while you're out.

Who it's for: Owner-operators and small teams who'd struggle if the owner were suddenly unavailable for a week or a month, and want a practical plan instead of a 40-page document.

The problem it solves: When key work lives in one person's head, a short absence can stall the business. This small business continuity plan gives every task a backup and flags NO BACKUP, WRITE INSTRUCTIONS and TRAIN BACKUP; maps each critical account to who can reach it and where the login is stored (never the password), flagging single points of failure; keeps contacts confirmed and bills from lapsing; and logs quarterly tests.

What's inside

  • Business Continuity Workbook (EXAMPLE + BLANK, .xlsx)
  • Business Continuity Playbook (PDF)
  • Emergency Client Message Templates (DOCX + PDF)
  • Backup Person Handoff Guide and SOP Template (DOCX + PDF)
  • Continuity Plan Summary and Annual Review Checklist (DOCX + PDF)
  • AI Prompt Pack: 25 prompts (PDF + TXT)
  • Start Here guide and license

How it works

  1. On Settings, name the owner and your main backup person.
  2. List the jobs that keep the business running on Who Covers What, each with a backup.
  3. Map every critical account on the Access Map: who can reach it and where the login is stored, never the password.
  4. Add key contacts and bills & renewals.
  5. Test one piece each quarter and record it on the Review Log; check the Dashboard.

Good to know

  • Every name, number and company in the EXAMPLE file is made up.
  • Never store passwords, PINs, full account numbers or recovery codes in these files; record where they're kept, not what they are.
  • This binder is a planning and record-keeping tool. It isn't a legal document, will, power of attorney or succession plan, and doesn't give anyone authority over your business or accounts. Ask an attorney and your bank about those.
  • The tools help you plan; they don't guarantee the business keeps running or any result.
  • Excel .xlsx workbook, no macros; formulas tested in LibreOffice (Google Sheets and Excel open-tests pending)
  • Texting or emailing clients: message only people who gave you their number or email, honor every STOP or unsubscribe request right away, and get a client's written consent before sending marketing texts with an automated tool. Marketing emails need your postal address and an unsubscribe option (CAN-SPAM). Some states, including Virginia, add rules such as allowed texting hours. This isn't legal advice.

Questions
Does it store my passwords?
No, and it tells you not to. The Access Map records where each login is kept (for example a password manager's emergency-access feature), not the login itself.
Is this a legal succession plan?
No. It helps people find things and keep work moving. Legal authority to act for the business or its accounts needs documents from an attorney and your bank.
What software do I need?
The workbook is an Excel .xlsx file with no macros; its formulas were tested in LibreOffice Calc (Excel and Google Sheets open-tests pending). You'll also need a PDF reader and a word processor that opens .docx files (the printables were checked in LibreOffice Writer).
Can I use it for more than one business?
The license covers one business, including its employees and contractors. A second business needs a second license. No resale, redistribution or sharing.
Is this legal, insurance or financial advice?
No. The templates are starting points to have your own professionals review.
