Instant digital download. Files are delivered electronically after purchase; nothing is shipped.

This freelance time tracking spreadsheet and invoice template helps you track every hour, invoice on a schedule, follow up on late payments and see your real hourly rate against a yearly goal.

Who it's for: Freelancers and solo consultants who bill by the hour or by project, juggle a few clients at once, and want one simple place to log time, track invoices and see how the year is going.

The problem it solves: Unlogged hours, uninvoiced time and late payments can quietly cut freelance income. This workbook follows each hour from the Time Log to an invoice to PAID, flags OVERDUE invoices, shows your value per hour logged (admin time included), tracks collected income month by month against an even pace toward your yearly goal, and estimates a tax set-aside from your own %.

Good to know

  • Every number in the EXAMPLE file belongs to a made-up business; it isn't a market rate or a recommendation.
  • Templates aren't legal advice; tax lines are placeholders. Have your own professionals review them.
  • The tools help you run your business; they don't guarantee income or results.
  • Excel .xlsx workbook, no macros; formulas tested in LibreOffice (Google Sheets and Excel open-tests pending).
  • The tax set-aside is a % you choose, not a tax calculation. Ask a tax professional what to set aside and when to pay estimated taxes.
  • Some states and cities, including New York and Illinois, have freelance worker laws with written-contract and payment-timing rules. The payment terms clauses are a template to have an attorney review.
  • Texting or emailing clients: message only people who gave you their number or email, honor every STOP or unsubscribe request right away, and get a client's written consent before sending marketing texts with an automated tool. Marketing emails need your postal address and an unsubscribe option (CAN-SPAM). Some states, including Virginia, add rules such as allowed texting hours. This isn't legal advice.

Questions
Does it send invoices or take payments?
No. It tracks time, invoices and payments that you send and receive yourself. The invoice template and reminder emails help you write them.
Does it calculate my taxes?
No. The tax set-aside is a simple % of what you collect that you choose. Ask a tax professional about self-employment tax and estimated payments.
What software do I need?
The workbook is an Excel .xlsx file with no macros; its formulas were tested in LibreOffice Calc (Excel and Google Sheets open-tests pending). You'll also need a PDF reader and a word processor that opens .docx files (the templates were checked in LibreOffice Writer).
Can I use it for more than one business?
The license covers one business, including its employees and contractors. A second business needs a second license. No resale, redistribution or sharing.
Is this legal or tax advice?
No. The templates are starting points to have your own professionals review, and tax lines are placeholders to confirm with a tax professional.
